Before You Start: What your agency needs ready before you build in GHL.

GoHighLevel is not where the thinking starts. It is where the thinking gets installed. Get the inputs right before the platform gets involved.

The before-you-build rule

Most people open GoHighLevel and then try to figure out what they are building. That is the wrong order.

The platform is neutral. It will let you build almost anything. That is the problem. Without a clear business identity, a domain plan, an offer and a decision on email and SMS, every choice in the platform becomes a guess.

This guide is about getting the inputs right before the platform gets involved. Work through it before you build anything serious.

1. Agency business identity pack

Before anything else, your agency needs a real business identity — not just a name and a logo.

Agency name A real operating name you will use on invoices, contracts and emails. Not a placeholder.
Business structure Sole trader, company or other. This affects your ABN, your contracts and how you bill clients.
ABN (Australia) Required before you invoice. Required on your website privacy policy and terms. Apply at abr.gov.au if you do not have one.
Operating email address A business email on your own domain. Not a Gmail address. This is also your GHL account owner email.
Basic terms and privacy policy Not a full legal document — enough to put on your website and reference in proposals. Required before you take money.

2. Domain and DNS plan

Your domain strategy affects almost everything in GHL — Trigger Links, calendars, forms, email sending, white-label links. Decide it before the first page is published.

DNS provider: Cloudflare is recommended as a standard DNS layer. HighLevel supports automatic Domain Connect with providers like Cloudflare, GoDaddy and Google Domains — this reduces manual DNS setup significantly. Manual DNS is the fallback where automatic connection is not available. Either way, the domain decision happens before you build.

3. Email sending readiness

A green DNS record does not mean your domain is ready to send. A domain is ready when it is authenticated, warmed, tested and monitored.

Dedicated sending subdomain Use send.yourdomain.com or mail.yourdomain.com — not your root domain. Keeps your main domain reputation separate from bulk sending.
SPF record Authorises which servers can send email on behalf of your domain. Set up in DNS before sending.
DKIM A digital signature that proves the email was not tampered with. Required for modern inbox delivery.
DMARC Tells receiving servers what to do when SPF/DKIM fail. Start with p=none to monitor before enforcing.
Inbox test Send a test email and check it lands in the inbox — not spam. Tools like Mail-Tester.com can help.
Warm-up decision New sending domains need gradual volume increase. Warm-up tools (MailReach, Warmup Inbox, Instantly, Warmy) can help — but they cannot fix a bad list, broken auth or spammy copy.

4. Phone, SMS and sender ID readiness

SMS is not a default feature. It is a feasibility, consent, compliance and cost decision — and in Australia, a regulatory one.

Will you use SMS at all? Not every agency needs SMS. If your offer does not require it, remove it from your first build scope entirely.
Number-based SMS or branded sender ID? Number-based (from a purchased GHL number) or branded (your agency name as the sender). Different setup paths, different compliance obligations.
AU: Regulatory Compliance Bundle Every Australian GHL phone number must be linked to an approved Regulatory Compliance Bundle proving the business is a legitimate user. Required before purchasing a number.
AU: ACMA Sender ID Register The ACMA Sender ID Register began 1 July 2026. Agencies using branded SMS sender IDs must register to avoid disruption. acma.gov.au →
NZ: SMS feasibility check SMS availability in NZ is constrained by provider, number type and local requirements. Verify your pathway before building automations that depend on it.
Consent and unsubscribe handling Every contact receiving SMS must have explicitly opted in. Every message must include an unsubscribe mechanism.

5. Offer clarity before setup

You cannot build a working agency system without knowing what you are delivering. This is not a business strategy exercise — it is a minimum requirement before GHL setup makes sense.

Answer these before building:

What is your first offer? One service described in a sentence. Not a list of capabilities — one thing you can sell, scope, fulfil and invoice.
Who is it for? A specific type of business or person, not "small businesses." Specific enough that you know where to find them.
What does it cost? A real price. Not "TBD." Value-based, not hourly if possible — hourly pricing caps income and rewards inefficiency.
What does it not include? What you will not do is as important as what you will. Define the scope boundary before you take money.

6. Access and ownership checklist

GHL account in your name Your email, your billing, your ownership. Not under a supplier, affiliate or third party. If it is, you do not own the business.
Domain in your registrar Your agency domain is registered under your own account. You control the DNS.
Cloudflare or DNS provider in your control You can update DNS records without asking someone else. This is a basic operational requirement.
Email provider under your control Your sending domain and ESP account are yours. You can see deliverability data and handle unsubscribes.

7. The "do not touch yet" list

You do not need to master every GHL feature before you start. Here is what to leave alone until later:

SaaS mode Comes after you have proven your own agency system works.
White-label app A distraction at this stage. Revisit once Client Ready.
Multiple sub-accounts Build your agency's own account clean before creating client accounts.
Snapshots (importing) Do not import until you understand what is in them.
Complex automations One simple, tested workflow before anything advanced.
Affiliate manager Not relevant until your own offer is proven and selling.
Memberships and courses Only if your offer specifically requires them.
Reputation management Client-stage feature. Set up during Client Ready.
